Administrative & Data Coordinator – Hillel at Miami University
Role Overview
Hillel at Miami University is seeking a highly organized, dependable, and detail-oriented
Administrative & Data Coordinator to join our team. This fully remote, part-time position (15-20
hours per week) plays an essential role in supporting the administrative operations and data
management of our organization. The Administrative & Data Coordinator will oversee donor and
financial data, provide administrative support, and help ensure our internal systems run
efficiently so our staff can focus on building meaningful relationships with students and creating
a vibrant Jewish community on campus.

Position Requirements
What You’ll Bring
● Two to three years of relevant administrative, database management, nonprofit, or office
management experience.
● Bachelor’s degree preferred.
● Exceptional attention to detail and organizational skills.
● Strong written and verbal communication skills.
● The ability to manage multiple priorities while maintaining accuracy.
● A proactive approach, strong follow-through, and the ability to work independently.
● Flexibility, a collaborative spirit, and a sense of humor.
What You’ll Do
Administration
● Provide administrative and logistical support to the Executive Director.
● Coordinate and communicate with the Board of Directors regarding meetings, including
scheduling, Zoom logistics, meeting materials, and follow-up support.
● Assist with additional administrative projects as needed.
Financial and Donor Management
● Prepare bank deposits, maintain accurate financial documentation, and assist with
deposit coding. (Deposits will be made by the Executive Director.)
● Support the Executive Director in tracking revenue and financial projections.
● Partner with the bookkeeper and Shared Business Services to maintain accurate
financial records and reporting.
● Prepare development reports and supporting materials for the Finance Committee.
● Manage and maintain the integrity of our donor database (Little Green Light), ensuring
records remain accurate, complete, and up to date.
● Process gifts promptly and accurately, generate donor acknowledgements, and produce
regular fundraising reports.
● Oversee the timely and accurate processing of all donations.
● Support fundraising operations by maintaining clean, reliable donor data and reporting.
● Perform other duties as assigned by the Executive Director.
